GoPIG meeting at UNC, Greeley, September 29, 1994 Present: Mark Anderson, Theresa Salis, Shirley Soenksen UNC; Lisa Stromberg CO School of Mines; Fred Schmidt CSU; Marit McArthur Auraria; Janet Lee Regis; Deb Van Tassel, Tim Byrne, and Debbie Hollis CUB. The group toured the UNC Documents library. Announcements: Tim introduced Deb Van Tassel. She is the new temporary international documents librarian at CU Boulder and comes with experience from Auraria and CSU. Next meeting place: Janet Lee agreed to host the next GoPIG meeting on October 27th. It was noted that Louise Treff and Suzanne Taylor may attend MPLA which occurs at that time. CARL update: Janet Lee reported on behalf of Louise Treff. Louise said that indexing on the MARCIVE file has been fixed but warned to watch future tapes. DPL will have a tape made from OCLC rather than try to extract their records from database 83. They will load the OCLC records into a special file to review. Database 83 and 99 can be flipped but CARL says it needs at least a month lead time to do this. File 83 has never been re-indexed and Louise states that database 99 is really the better indexed file. Some people may have noticed that non-documents records continue to show up in file 83. It was agreed that CARL should flip the databases as soon as possible. Tim suggested that when the menu is changed the DOE database be removed. MARCIVE profiling: Lisa Stromberg reported that it is easier to keep track of this project if one person is responsible and Fred said that he had one person involved on a full time basis. Lisa received five files on a diskette. She recommended checking each disk on receipt since she found that one file did not work. MARCIVE sent her a new diskette. She is profiling for retrospective and ongoing. The data information consists of the accession number which is the same as the MoCat number. She ended on number 208 in the first file and the second file began with number 278. Lisa added the missing numbers after she spoke to MARCIVE. It has taken Lisa over a month to cover 270 items. She estimates that she will complete the project in two month. Lisa reported that she received the necessary materials two weeks after she sent in her purchase order. This included a CD-ROM which can be searched by item number, as well as SuDoc number, title, etc. and is user friendly. State documents processing: Mark Anderson requested a discussion about the status of state documents. Tim reported that CU is officially a depository for New York and California state documents. Due to drastic budget cuts in both states materials haven't been as plentiful as before. New York is considering offering its publications in microfiche. CU tried to back off from collecting all fifty states. Tim said that an extensive collection of other states from 1890 to 1940 is available at CU due to an exchange program set up long ago. These materials are not catalogued so its basically a browsing collection. Marit stated that Auraria receives state publications from the contiguous states. Fred reported that for CSU it depends on the subject. For example the Earth Sciences people will get geographical surveys from other states. Tim said that CU has a spotty collections of geographic surveys. He pointed out that NTIS (National Technical Information Service) has many state resources as does the NCJRS (National Criminal Justice Research Service) which will soon become a depository item. Old Business: None. New Business: None. Library Significant Events: Mark plans on attending the Economic Census Workshop. Fred reported that he is considering a serious retrospective cataloging project if a proposal gets funded. He would like to see an email exchange of retrospective cataloging projects. CU Boulder is doing a small CIA project and has discovered a problem. The material does not always say that the CIA produced it. CSU is tacking independent commissions and the Smithsonian Bureau of Ethnology reports. Fred would like to know what other people are doing. Lisa reported that the School of Mines library is still working on setting up their LAN. They are doing this internally and hope to have it up by the end of the semester. Buddy Rooney is retiring as the map librarian November 15th and will be sorely missed. An announcement should appear on the November Chronicle of Higher Education. Tim reported that the wiring for their LAN is in the works. The Ethernet connection should be complete by October 17th. They will use Novel software. Wiring for the new III system is occuring at the same time. The library will be closed to the public December 19 through 22nd in order to bring up the new system. These are hectic times and the staff is slightly stressed. Tim is almost ready to distribute the CO Depository Directory. He will send out a copy of each library's entry for verification. Debbie distributed copies of a guide to genealogical sources at Norlin. She hopes this will help genealogy researchers during the time that DPL is closed for three months. The meeting adjourned.
