March 22, 2001 Dean Jim Williams was not able to attend due to a family emergency. Greg Robl, chair of the LAB, asked that any questions anyone might have had for the Dean be forwarded to the LAB.
JANET SWANN HILL: Technical Services Reorganization: There is no real news on reorganization right now. Cabinet met, approved some proposals, and ran into a "glitch" with the University Administration, related to procedures that are designed for teaching departments rather than libraries. This issue is still being worked through, and anyone affected by it is aware of the details. Once any decisions are official, Janet will make announcements and make information available on the web. Recruiting: 2 candidates for Serials Cataloging and 5 candidates for Monographic Cataloging will be interviewing very soon. Everyone is welcome to come to the candidates' presentations (announcements will be sent via e-mail). There will be a search for the principal cataloger position as well. Some Technical Services staff positions are being held pending reorganization, and some faculty vacancies are being held to fund the BCR inventory project. Technical Services Environmental Concerns: Issues brought up last year are being revisited to see what has been done, what has not been done, and what is or is not possible. BCR Project: BCR has hired more staff, including someone with Slavic language knowledge. They are close to being through with the Deweys, but have switched some screening into the stacks so the catalogers can catch up with the problems already found.
SUSAN ANTHES: LibQual, a survey for users of academic libraries devised by the Association of Research Libraries (ARL), will be distributed the week of April 9, with advance notices (to those being surveyed) going out this week and the week after Spring Break. Please encourage people to fill this out. There will be a drawing for 3 bookstore gift certificates and a palm-pilot for enticement. The survey will be sent to 900 Undergrads and 600 Grads and 600 Faculty, randomly selected. Please note that we did not design the survey but if successful it should give us standardized information to help us compare ourselves to other institutions. It should also be useful in developing our strategic plan and budget priorities. E-reserves, a pilot project headed by Karen Taylor, has proved more expensive than we had hoped. For example, in one case for a large class, a chapter of a book we owned would have cost $1000 to put on reserve on-line. We are following the-letter-of-the-law on this project and everyone should know that this is just a pilot project. Everyone is encouraged to participate in recruitment process for new faculty positions. Jennifer McCarty will be preparing a handout on using netLibrary following the well-attended presentation by netLibrary that she coordinated. The Bibliographers Budget Advisory Committee is tackling difficult issues such as duplication of print resources by netLibrary resources.
SCOTT SEAMAN: III Millennium Modules (other than Circulation): The next module to be brought up will be materials booking, which combines media checkout and equipment and room reservation and checkout. COG is working on testing to be performed either this summer or fall. Acquisitions/Serials Acquisitions are slated to be brought up after that. COG is waiting for the TS reorganization before making plans. PASCAL: 15,000 volumes have been moved in. There will be an open house at the PASCAL storage facility all day April 25. Transportation arrangements are still being worked out. Let Bert in Administrative Services know if you are interested in going. Copy Contract: The current contract expires July 31. The new contract, which has not been signed yet, but is being negotiated with Campus Copy Services, will include new copy machines, new microform reader printers, new change machines, and a small decrease in number of copy machines (copying volume has decreased).
QUESTIONS FROM THE FLOOR: What's the time frame for moving from Louisville to PASCAL? It will take 18 months just to move this material. How are PASCAL materials displayed in the OPAC? The location in the item record (in staff mode) is pascu. This displays as Pascal Offsite in public mode. Will pay-for-printing be part of the new copy contract? The contract addresses this. Printing Services has installed pay-for-printing for the CU Housing Department, so they do have experience with this. What's going on with OCI? Mark Augustin has not yet contacted Scott. Scott will contact him, again. Will three months be enough time to install new copy machines, etc.? Yes - barely - but it is possible, no matter which vendor we go with. The transition may be chaotic. Can Susan send the sample of LibQual to everyone (not just public services)? Yes - she will try to send it online. Can we get the latest updates/comments on the Strategic Plan and the Norlin Renaissance? There has been dialog with the campus about how to begin the retrofit/Renaissance. There is a new process, which requires an 80 page "concept paper" from the Libraries. This is good because it looks at the facility (the actual technology and infrastructure), and creates a detailed, realistic assessment of what needs to be done before the plans are made. It adds, however, to the cost (60-75K) and time required for the process. The Libraries are discussing with the University how this can be funded. The Program Plan for the retrofit will require $300-325,000. The Blue Ribbon Panel was formed after it was evident that the regular procedures for Program Review of academic teaching units were not adequate for the Libraries. The panel was appointed from faculty outside the Libraries to examine issues that relate to the Libraries in order to make recommendations for the Libraries' Strategic Plan. The panel is behind schedule, and is still in the information gathering stage. They have met with Cabinet, with Department Heads and Associate Directors, and with staff, tenure-track, and non-tenure-track faculty. Anyone can contact Jeffrey Cox, the chair of the committee, with suggestions, ideas, or issues. What is the status of the Online Access and Display Committee? Susan and Janet are considering revising the charge and new membership, as several original members are no longer in the Libraries.
