Libraries Division/Associate Director Reports
Administrative Services: presented by John Culshaw
Information Commons update:
The FSDC-sponsored meeting on Wednesday, April 23, 11:00-12:00 will have lots of good information, so please attend if possible. The architects will give a presentation complete with product samples and visual aids. There will be a pre-bid meeting next week attended by all the bidding contractors and also by Fac Man. Bids are due at 2:00pm on April 29, with the bidder being selected by Fac Man. The proposed start date for the project is end of May/beginning of June.
Systems administration contacts:
Rani Machoi is the interim head of Systems. Please direct head-of-Systems questions to her and not to John Culshaw.
Rewiring project update:
Work is being done from the bottom up; the basement is nearly complete. A yellow card next to a telephone jack means that the rewiring has been completed for that the phone jack. There’s no official schedule yet for the first floor.
Employee-of-the-month program:
The procedure will be codified into a more formal process shortly. In the meantime, continue to send employee-of-the-month nominations to John Culshaw.
Libraries Outreach:
- CU Salon Series: 50-100 people have attended each event, so it’s going very well.
- Temporary signage: A new template has been developed, and the new form is on the Administration web page.
- PR plan: A PR plan for the Information Commons is being put together.
Performance evaluations:
Performance evaluations are due April 15. Plans are due May 15 in Lucy Zellar’s office.
Public Services: presented by Susan Anthes
Information Commons update:
50% of the Per Room and Reference collections are being relocated. Circulation is moving materials to Norbase. There will be no patron access to Norbase because the shelving is unstable. Instead, ArticleReach and ILL will be available. Hopefully, the materials will be inaccessible for only 6 months.
Job searches in progress:
- Business, Collection Development, and Music faculty: Interviews are about to start.
- Head of Reference Department: The search committee is in the process of being formed.
- Director, Administrative Services: Susan Anthes and Janet Swan Hill will meet soon to start the job search process.
- East Asian reference librarian: The job announcement is about to go out.
Your candidate comments are very valuable to the search committees; please attend as many presentations as you can and submit comments.
Shifting of East Asian periodicals:
East Asian (i.e. CJK) bound periodicals have been relocated from the Per Room to the East Asian Collection in Norbase. East Asian unbound (i.e. current) periodicals are going to be moved to the East Asian Reference Collection.
Music Reserves:
The iTunes pilot program is going well. Reserve materials are being streamed directly to students for free.
Web Bridge Implementation Team:
The third phase of Web Bridge implementation is going well.
Innovative Leaders Forum:
John Culshaw and Susan Anthes attended an interesting Innovative Leaders Forum in Berkeley. Flickr and the Library of Congress have partnered to make some of the Library of Congress’s photography collection accessible via the Flickr Commons website. Users can post stories about the photos, and cloud tags have also been created. The hope is that a user community will be created. John and Susan also participated in group games in which the rules were in a constant state of flux, demonstrating the need to continuously adapt in today’s constantly changing library environment.Technical Services: presented by Charlene Kellsey for Janet Swan Hill
Acquisitions:
- New processes: Acquisitions has implemented Prompt Cat (i.e. cataloging using batch-loaded OCLC records) and shelf-ready (i.e. books arriving pre-labeled, etc., so that they can bypass Marking) processes for virtual approval books per R2’s recommendations.
- Fast Cat: Regular approval books are receiving Fast Cat (i.e. streamlined cataloging by Monographic Acquistions staff) treatment, which is greatly assisting Cataloging and Metadata Services.
- Holdings statements: The Serials Receiving unit has implemented the MARC21 standard for holdings statements. It is also changing holdings statements for PASCAL-pending materials, and in the process, converting holdings from the old, outdated ANSI standard to the current (i.e. MARC21) standard.
- End-of-fiscal year: Acquisitions is busily working on the end-of-fiscal processes.
Cataloging and Metadata Services:
- New projects: The implementation of the Prompt Cat, shelf-ready, and Fast Cat processes have freed up time for Monographic Cataloging to pursue complex copy cataloging in such areas as Special Collections, Maps, and Archives. For example, there is a project afoot to create publishers bindings subject headings metadata for Luna (i.e. a digital library interface).
- New catalogers: C & MS is proud to have two new faculty, Peter Rolla and James Ascher, and two new staff members, Beth Levrault (head of Monographic Copy Cataloging), and Hui Liang (East Asian languages cataloger.)
- Chinook Link Maintenance: This program has been installed. Now, the item record locations will automatically update the bibliographic record location every night.
- PASCAL as a catalog location: PASCAL is now an independent, bibliographic location. The original owning library information will be retained in the iCode2 field of the item record.
- Department Management Group (i.e. DMG): DMG attended the All Alliance meeting of the next-generation catalog interfaces then presented its evaluation of three vendors to the Cabinet and also at a FSDC presentation.
Preservation:
- New staff: Preservation has a new staff member, Megan Lambert working in Book Repair, Bindery Prep and with the Assessment Project while that is going on.
- Conservation Assessment Project update: Preservation work is continuing to assess the condition of Archives materials.
- Web Era Project: CU is participating in this project sponsored by the Image Permanence Institute, RIT. We are only one of five libraries nationally chosen to participate, beating out some other prestigious institutions. We received 20 more environmental monitors for free which are being installed throughout the Libraries including the branches and PASCAL, as well as in some campus museum locations.
Selection to Access Implementation Team: presented by Jina Wakimoto
- The team is in the process of investigating/implementing R2’s 75 recommendations. [For new staff members: R2 is a consultant duo (named Rick and Ruth) who came to the Libraries last year at the behest of Technical Services. R2 studied TS processes for a week then issued a report comprising about 75 recommendations for increased efficiency, etc.]
- The Prompt Cat and shelf-ready processes are examples of R2 recommendations that have already been implemented.
- The Selection to Access Implementation Team is in the process of prioritizing R2’s recommendations and creating a timeline for implementation.
- Also, a new team is being formed within C & MS. More details to follow.

Preliminary remarks
Thank you to Social Functions for the Student Appreciation Pizza event yesterday, to the Libraries Advisory Board for the All Libraries meeting, and to Mary Jane Campbell for arranging refreshments for today’s meeting.
Dean’s Report
CU Salon Series:
This successful outreach program was developed as a result of the Libraries’ strategic plan. The seventh event is tonight. The Young Jaycees are series sponsors, thanks to Curt Williams.
Flagship 2030:
- Campus strategic plan: This is a new, long-term strategic plan for CU.
- Initiatives: Flagship 2030 consists of 18 initiatives, which are comprised of core initiatives and a subset of flagship initiatives. Check out the website: http://www.colorado.edu/flagship2030.
- Impact to the Libraries: Dean Williams has been consulted about the impact to the Libraries of the initiative to increase the number of full academic semesters each year from two to three. To successfully handle a three-semester academic year, CU will need to hire 300 more faculty members to handle a projected 30% increase in student enrollment. The Libraries would require a 50% increase in staffing since Libraries folks already work all 12 months out of the year. As the Dean pointed out, in terms of staffing CU now ranks dead last among ARL libraries; this is much to the delight of Mississippi, who now occupies the penultimate spot. Also, the Dean was asked about the collective skill set of Libraries personnel and future training needs. Future scholarship will be highly focused on digital scholarship, and we will all need to engage in continuous learning and change.
Web Bridge:
The Dean has received a lot of positive campus feedback regarding Web Bridge.
R2 recommendations:
There has been a lot of positive development in Technical Services stemming from R2’s recommendations.
Capital Construction:
Chancellor Peterson has been talking about a $1.5-2 billion fundraising campaign for campus capital construction. The Libraries needs to get going on the next phase of the Norlin retrofit by getting itself on the campus capital construction list. The new Information Commons will only have 200 seats, which is not big enough for our needs. The next Norlin renovation phase will cost approximately $30 million.
New Libraries tenant:
President Emeritus Hank Brown, who holds tenure in political science and an endowed chair in leadership, may move into the Libraries after the 4th floor lift construction has been completed. He’s definitely moving in here, but the timing has not been firmly established.
CU President:
CU’s new president, Bruce Benson, is a friend to the Libraries. For example, in 1998, he solicited a colleague of his in the oil industry, Eric Johnson, to donate money for the Earth Sciences Library. The Earth Sciences Library is named after the donor’s mother, Jerry Crail Johnson.
PASCAL 2:
The groundbreaking for the new 1.6 million-volumes PASCAL 2 facility will be this month.
Information Commons:
- Contractor: We are waiting for a contractor to be named. The contractor will be the driving, ruling force during this project. At this point, there are many unknowns.
- New Information Commons project team: A new Information Commons project team will be led by John Culshaw. The team will involve all three Libraries divisions and will be comprised of both faculty and staff. This will help us to be as flexible as needed during construction.
- Health and safety: Health and safety are a definite project concern. Faculty and staff may need to use leave as needed if uncomfortable.
- Renovation starting location: It is likely that the contractor will begin the project by working on the 2nd floor.
Question and answer session
Flagship 2030 committees:
There is no Libraries representation at this time. However, subcommittees are being formed, and Libraries personnel are on the volunteer list.
Copy Center post-renovation:
Hopefully the Copy Center will not be in the Libraries after renovation. Patronage of the Copy Center has declined markedly.
Campus budget:
One of the reasons that Flagship 2030 is long-term is that the economy and therefore the size of the available budget are cyclical.
Conoco Phillips move:
There will be partnership and research opportunities with CU. This could have an impact on our science libraries.
Fleming Building update:
No news yet. Fine Arts may want Fleming for use as a performance space.
Campus power plant building:
It will be torn down.
