ERM Committee Minutes

Present: Baia, Callahan, Cronin, Culshaw, Fong, Gobrecht, Graber,
Helgoth, Holladay, Jobe, Kellsey, Lamboy, Moeller, Wakimoto, Wicht
- Helgoth reported that, because she is unable to run a list of resource
records and choose fields for download, she is still attaching order records
to ÒminiÓ bibs that can be suppressed rather than to resource records. The
ability to extract data for a variety of purposes is crucial. Is
this a known bug? Helgoth will check CSA and Fong will follow up
with Storey-Ewoldt. Because we are displaying resource records rather
than bib records to the public, this duplication of effort seems counterproductive. Cataloging
and Metadata will consider workflow issues.
- Callahan proposed display of Trial Information (field U in the variable
length fields of the resource record) in order to use ERM to display trial
databases to the public. After discussion the committee agreed that
this would be desirable. Callahan will add the display for the webpubdef. Culshaw
agreed to look into using Featured Lists to generate the trial databases
page. Fong is bringing a proposal to the bibliographers to modify
the process for requesting trials. Collection Development has developed
a form that should be completed by bibliographers which includes a field
for a description of the database. Individual bibliographers would
be responsible for descriptions rather than Callahan who is currently writing
database descriptions.
- There was a brief discussion of what should get a resource record. In
general anything that will be displayed in the A-Z and subject lists requires
a record. Although individual ÒbooksÓ generally donÕt get a separate
resource record, a major reference in a subject should get a record.
- The committee briefly discussed The
White Paper on Interoperability between Acquisitions Modules of Integrated
Library Systems and Electronic Resource Management Systems: A Draft for

comments to Wakimoto by March 9 so that she can forward them to the ERMI2
subcommittee.
- In order to obtain MARC records from
Serials Solutions (SS), the Libraries has to turn on journals subscribed
to individually in a category entitled ÒSingle JournalsÓ in the SS client
center. In order to manage coverage loads, these records were attached
to a resource record titled Single Journals [full text]. Suppressing
the resource record causes the suppression of the URL supplied by SS. Under
conventions established for other journal titles, the text link would read
ÒFull text in Single Journals.Ó Since this is a collection of unrelated
journals, staff in Reference thought this was confusing for the user. In
order to make this oddball record a little more clear, we changed the public
note o read ÒClick here for full text.Ó The committee also added
a description to the record for Single Journals that reads ÒThis is a list
of journals that the Libraries subscribes to individually. For an
example, search for New Left Review.
