Minutes
ERM Implementation Team
7-25-2005
Present: Baia, Culshaw,
Fong, Helgoth, Jobe,
The team discussed issues that arose when Fong and Jobe
created resource records for ARTstor, Factiva, and North American Women’s
Letters and Diaries.
- Fixed
field 179 (Full text—formerly Pack Type) doesn’t have a value that works
for the digital images in ARTstor.
Culshaw will add “DIG OJBECT” to the list of values. Digital objects could include images,
video and audio.
- Fixed
field 178 (Resource Status) doesn’t have a value that works when the
license is under review but an order has not been placed. Culshaw will add “LIC PENDING” to the
list of values.
- Fong
agreed to create lists of standardized language and definitions that can
be used to complete some of the variable fields.
- CSU’s
version of the variable length field document, indicates that CSU plans to
match the variable length field “Resource Type to ARL e-metrics (http://www.arl.org/stats/newmeas/emetrics/). Unfortunately the standards are under
development and don’t offer firm
guidance on this issue.
- Fong
and Jobe had trouble assigning a resource type to North American Women’s Diaries and Letters and to Factiva. The committee believes that “aggregated
database” works for these two resources because both aggregate content
(images or letters and diaries) from a variety of resources.
- How to
handle primary source materials.
Many of the databases we’ve purchased contain primary source
materials. Since inclusion of
primary source materials is a common requirement for assignments in many
disciplines, we need an easy way for students to identify this
material. It was suggested that we
add “Primary Sources” or some variation on this theme to the pull-down
menu of databases by subject.
- Local
subjects: Culshaw agreed to create
a multi-value, variable-length field for inclusion of local subject
headings in resource records. He’ll
use the categories that currently exist in the subject area of “Find
Articles and More” in Chinook. The
issue of local subject headings should be taken to larger groups such as
the bibliographers and others.
- Helgoth
suggested a possible workflow for the creation of resource records. At the time of trial, placement of an
order, or some other acquisitions-related event, staff in Acquisitions can
create a skeleton record. After
purchase the skeleton record can be augmented by staff in Cataloging. Culshaw suggested that he could create
templates for the portions of the record that are modified by various
departments.
- As a
general observation most public display issues will remain unresolved
until we have 6-8 resources ready to play with.
- Jobe
agreed to make corrections to the record for ARTstor.
- Fong
and Jobe added [full text] or [digital images] to resource titles as
appropriate. This seemed more
meaningful to patrons than the [electronic resource] that follows the
title in bib records. Questions arise
about other resource types. Should
we include [index] or [index and abstract database] etc. in records? Because he has expertise in the
cataloging of digital objects, Baia would like to include Cronin in some
meetings. Culshaw suggested that
Cronin could help us with standardized terminology in this regard.
- Images
of the three records are included in these minutes.
